IT Support Services

1. If your current IT support team think its about the computer and not the person using it.

This is one of the first tell tale signs that you are dealing with a tech company that does not understand business. This is not to say they don’t know their tech, it just means they value the computer hardware more than the team member using it. You often see signs of this when your technician spends more time talking about megahertz, ram and hard drive space instead of listening to your team member and finding out how they use the tech for their daily tasks. You see it when your IT Support is more interested in getting their job done on their schedule and not when its convenient for the person using the computer. Think about this, if you took a person who everyday of their life is the proverbial Sunday driver, you place said person in the fastest car known to humankind, and then ask yourself, how will they drive? I feel I would be placing a pretty safe bet by saying that I think they would still cruze down the road 10km under the speed limit with an arm out the window and no care for the every growing line of cars behind them looking to be somewhere. The truth of the matter is that every person has a preferred vehicle and every person has a preferred way to drive. This holds true for technology as well, and Lunarstorm takes the time to understand you as a driver before we ever try to place you in your tech vehicle.

2. If your current technical support person is no where to be found!

I would like to say this is not as big of a problem as it is, however I can’t tell you how many times Lunarstorm has recieved a phone call because the current one person IT company is sick, traveling, on vacation or other. While all of the above are a reality of life, if your business depends on technology it can be a heavy burden to bare to be out of commission and waiting, knowing you don’t know when you will hear back from your Tech support or that they won’t be back in time to be helpful. Lunarstorm is a business Tech company, you won’t see us delayed because we are fixing home computers or because one person is sick.

3. If your kids & their friends do more with their phones than you & your team can with your office computers & network

I’m sorry, this one makes me chuckle more than anything. My nieces use their musical device to video conference with their uncle, me and they are between nine and eleven. I go into offices that have all the same devices if not more and they can’t even get the email running smoothly. In today’s day and age, to me this is simply wrong. I believe this is because of poor technical culture and Techs who again refering to point number one, don’t think about the team member as much as the hardware they are using. Lunarstorm takes the time to train your team to make sure that they can benefit from what we consider standard technology these days.

4. If you hope, more than know, that you have a disaster recovery & backup plan

The last comment made me chuckle, this one makes me want to cry. I’m not a fan of fear mongering however I can tell you the majority of businesses that I have walked into in the last 15 years have not had anything that could possibly pass as a quality backup or disaster recovery plan. Everyone claims they have one, and love to wave their tapes and backup drives at me to prove it, however in the crunch you would be surprised at how many of them failed when you try to recover data from what the backup drive said was a successful backup. What a server and tech calls a successful backup and what a business owner calls a successful backup are two different things. Information that usually never gets passed that can be dangerous for business owners is things like the system can report a successful backup and not get all the files. Only through regular test restores and managed backups can you ensure your safe. Lunarstorm excepts nothing else.

5. If you have never had the opportunity or confidence to leave your office and work where you want, when you want.

This is one of the most dissapointing thing for me to hear from a business owner and their team. The reasons I’ve heard range from no access to the office remotely, to the access is terrible at best for those who have remote, and lastly the fear of being hacked. All of the above again fall to culture and a poor performance by your IT Services company. As someone who has conducted a meeting from an airport, written a quote from a tablet sitting in a boat with a fishing rod and am currently working from a coffee shop I think that this should be a bare minimum of what you should be able to do with your technology in your business in 2013.

1. You’re still filling out a small forest worth of paperwork

Paperwork, the definitive factor in bringing your business communication and up to date information to an unbarrable crawl. From the side of business process, everytime you have people entering information on a piece of paper you create a new critical control point. The more paper work. The more cirtical control points you have to worry about.  The more chances you have that the information will get lost and the more chance you have that the information will be entered wrong. Custom software allows you to create one area for the information to be entered thus creating one critical control point.  Custom software frees up the need to have someone transcribe the information from paper to your excel spreadsheets. Custom software ensures your managers have up to date information.  Custom software ensures that you can communicate that up to date information to your managers.  In todays technology market, with pads, smart phones, laptops and desktops and all the software and applications that come with them, there is no reason business should need to continue using paper methods to track critical data through their business.

2. Your team has no interest in using the current software you have

This can happen for two reasons, one the software only works for a small group of your team and for the rest it has no practical use.  The second is that the software is so complex that your team feels they would need a university degree just to work with the software.  Both of these points can turn an otherwise great piece of software into a complete dud for your business.  When I’m speaking with clients about technology hardware & software and who makes the best stuff for example, Apple vs Microsoft vs Google vs Blackberry I think alot of people are surprised when I tell them it depends what you need it for. The analogy I would give you is this, what’s better a pickup truck or a porche?  Now which one is better if your job is to move a tonne of manure from one place to another dialy?  Software is no different, you have to pick the right tool for the job if you want your best results. So you can buy the porche piece of software however it doesn’t gurentee you will ever get to use its full capabilities. It also raises the skill level of the driver you need to put behind it. Often the keep it simple principle is the best.  The pickup doesn’t always look pretty however it gets the job done.

3. You have too many pieces of software, none of which communicate with one another

Whether you have a piece of software to run every department in your business or you are manually moving and entering data from one program into another program. This can be a disaster from time management and from an efficiency side.  As well it is one of the many areas we see a business bottom line being nibbled away at.  Sometimes the solution to a problem is not to buy another piece of software but to create a way for the software you have to communicate with each other and at minimum create reports from a consolidated data pool.  Cloud based software design options will often save a lot of administration cost that are normally delegated to paying an administrative clerk to organize the data in each piece of software and then porting the data to excel for reports to present to the business owner.

4. You’re collecting critical data that isn’t getting reported anywhere

I call this Excel hell and it is one of the most common things I see with established business that are trying to find out how to squeeze out more profit from the current process that are in use.  It would amaze you to see, even with in your own business that amount of excel files we find team members using only to find out that the data doesn’t go anywhere. At some point in time someone said to track the information and that was the end of it. The information is entered because someone said so and then nothing.  It either doens’t get passed on to the team mate who requires the information or worse the team member just copies the information they need out to another excel file.  Let me be clear. The only information worth recording is information that you are going to use. Whether it be for auditing purposes or communication. Only track what you need and always, always make it readily available to the proper team members to ensure that the information is used to make intelligent business decisions.

5. You and your team can’t access information once you’ve left the office

Ah the dreaded software that is only available at the office.  This may have been an ok thing ten years ago however in todays day and age with the quantity of smart phones and tablets avaialable as well as the fact that just about every home in north america has an internet connection, to not make avaialbe information to you and your team once they have left the office is just not excapable anymore.  For example, the Lunarstorm team is capable of accessing our estimating software from any web ready device. This allows any one of our team members to produce an initial quote/estimate of work needing to be done on the spot. If we are sitting with a client we can also have that estimate turned into a project and at the same time invoice.  All remotely.  This gives us a great advantage over our competitors. This is the same advantage you can have by utilizing a custom piece of software that is built around the common technology you and your team utilize.

1. First Impressions! Think About It!

In today’s day and age your website is one of the first places a potential customer will go to get an idea of who or what your about.  If someone gets to your website and they are not impressed in the first split second you will loose them. Google actually has a measurement for how often this happens , they call it a bounce rate, fitting. People are fickle and easily change their opinion based on things they see and where they see them.  A perfect example of this is the traditional yellow pages, the only way you could get noticed above your competitors was to buy a bigger ad or make it more noticeable through graphics. Today however, you have an entire platform to make the first impression that you desire. The ability to put the right foot forward on your terms.  If you are not happy about what you are viewing for yourself then chances are your clients and potential customers probably won’t be either.  Look at your site and ask yourself, Is this the impression I am trying to make?

If the statement about is true for you than there are two reasons why it would be a good time to have your website re-designed.  The first being is at the time of this post most of the major smart phone (OS & Hardware) providers like Apple, Microsoft, Google, and Blackberry have had an enjoyable to use web ready smart phone for about five years.  Sites built before this time or during the release of these devices will probably not stand up to browsing via these devices.  With smart phones quickly becoming one of the most commonly used browsing devices, a web site that is functional on the above mentioned OS & Hardware is almost critical because if a person is trying to get to your website via their mobile it probably means they want to know about and contact you immediately, Can they easily do that with your current site? The second reason has more to do with point number one and first impressions.  I site designed before smart phones is probably dated and give people the sense that if your site is not moving forward with the times then neither is your business.

2. If your website is not making you money!

The way I see it is that a website has two ways of making you money, a product page or a service page. The web is as your most powerful marketing tool that you possess.  With the current level of web technology where it is, it has become a common practice to track people coming to your website and their conversion to a phone call or sale.  If your site strictly falls under the providing service side of things, it should be easy enough to ask each time the phone rings how people found you.  If they still say the yellow pages then its clear you need some assistance with the your business website.  If you site falls under that of a product page and you are not making any money than that becomes an even bigger problem.  This could be a result of various things including a bad first impression to people not being able to find what they are looking for.  That’s covered in the “your site is lost and blurry” topic.  This is what you need to know. From a business standpoint, like any marketing you do, you should be able to track your website and how it generates income for your business.  If you can not do this at the minimum you should probably look at having your site updated.  Second if you have a product page, it should be making you money period.  Its a product page.  Why have a website if it is not generating an income for you.  Would you keep a store open if no one walked through the door and bought anything. Probably not. The thing being is with the reduced overhead of running an online store people take their eye off the ball and don’t but the necessary effort into turning their product website into a money printing machine.

3. The Student who used to work for you…

What I’m really trying to say here is, if your web site has been built and maintained by your sister in laws, cousins nephews brothers friend, a co-op student, part time employees, tinker tailors or non professionals you need to talk to us.  This situation leads to all sorts of issues. The first comes when the business owner finds out that the co-op student web designer from nine years ago was the one to registered the domain name and now he can’t be found to transfer it to the rightful business owner. Next we usually run into the “well the person who did the site before has all the passwords and no one knows what happened to them” story. That’s always fun.  Then it can often build up to the while John and Jane Doe from bookkeeping or administration down the hall takes care of the website as part of their day to day duties.  “Perfect” we say, ” You mean they update the content daily to keep your site fresh”.  “no no” is the usual response. They took a night school course on web design and take care of the whole site.  I often ask afterwards if you would trust an auto mechanic or electrician to work on your car or fuse box if you know they only took a couple classes in night school?  I would by the way, but it would be for simple things like changing the oil or spark plugs or fixing an outlet, however to rebuild my engine or wire the house.  Bring in the professionals.  The right tool for the right job at the end of the day.

4. If the focus of your site is lost or blurry

This has been a common theme among many websites I visit.  Its the ideology that people coming to your website would rather read about every single thing you sell as a product or service. It is the ideology that people really want to read about the history of your company, employees rather then hearing it from them directly. Its the ideology that everything you present on your site should also redirect to every single supplier you use.   It is then presented in a fashion that requires someone with twenty years experience in your industry to decipher or interpret.  Where do I go? I’m not sure.  That is the result.  One of the most important things Lunarstorm preaches about regarding client websites is the need for that website to convert to a phone call. At the end of the day there is no better sales person for your company then you and your team.  If you try to force to much information down your potential clients throat they will just leave your site and move on to the next site until they have found one that takes them directly to what they are looking for. Usually its contact information at the end of the day.  Your website has to be informative and at the same time simple and concise. It has to be like a thirty second TV commercial, here is what we do, here is how you get in contact with us.

5. If the majority of your menu reads like this -> home, about us, services, products, contact us

What’s wrong with that you ask?  Nothing at all if your goal is to lump yourself in with the other million business that have the exact same menu.  The menu is one of the core pieces of your website that not only tells Google what the hell you do but it also is the main thing your potential client sees when they enter your website.  I often tell clients when we are sitting down for the SEO aspect of the webdesign that when regarding the menu a complete layman and first time visitor to the site should be able to give a thirty second sales pitch after reading the main menu.  This means it is clear and concise and will usually create the need to click further into the website.  The other reason which is equally important to not confusing your potential client is not to confuse Google or the search engines either.  Google treats your main menu that same as your grade 9 English teacher treated the title of the pages on your book report. In short they are like chapter titles and best be informative.  To search engines like Google the title of your book report, i.e.; the titles in your menu and ergo the titles of the website pages should tell you exactly what will be found on that page.  As an example if you look under the Lunarstorm menu titled web design, what information do you think you will find?  I know what Google will be expecting.  Now if instead Lunarstorm put the menu title Services up their instead of Web Design, what would I be telling the user or search engines like Google. Not much, not much at all.

Managed Hosting

Many people who try hosting their own web environments do so at a loss. They rarely recoup the costs associated with buying the necessary hardware plus maintaining and replacing it. Nor do they recover the time spent being a slave to their Web Hosting hardware. It’s understandable that you may want to maintain control over your web hosting service rather than hand it over to a third-party provider. But at what cost?

Our exceptional Web Hosting service has four important features:

First, Lunarstorm’s enterprise Web Hosting servers are built to withstand earthquakes which means little to no downtime for you! No matter how much money you’ve saved hosting your own website, it means nothing if your website is down regularly. When you experience downtime, it can have a major impact on your business regardless of whether it’s your fault or that of your hosting provider.

Next, we offer plenty of flexibility when it comes to the physical requirements of your configuration. Third, you’re free to run customized apps or sites on our servers, both of which can easily be handled by our knowledgeable IT Services support team. Sites and apps come in all shapes, sizes and types. We have limitless options to fit whatever you’re running.

Lastly, we take care of all your security and data isolation requirements, whether it’s for regulatory reasons or just for your own peace of mind. To give an analogy – Your website is like a car and hosting is like a parking lot.  There are two types of parking lots – coin operated and VIP chauffeur – most people are hosting on systems that are park your own car (website).  Lunarstorm runs a high end parking lot, we run a security check on the car before pulling it into the lot – run the dogs and mirror around it .  We park the car so that you don’t accidentally ding the car beside you and most importantly for security if you need anything from your car; we go and get it.  This helps ensure that all cars (sites) in our lot are treated like a Porsche or whatever your dream vehicle is.

As a note, most companies that go with the basic hosting services end up having much greater cost when they have an issue.  I.e. If your site gets hacked or has an error it increases trouble shooting time as we will have to rule out all hosting concerns first.

Trust Lunarstorm’s Web Hosting solutions to get you out of the hardware support business and into the business you do best, while also saving you time and money!
